Job Description

Ideally, this position will be filled in the Dallas, TX area, but not required.

General Responsibilities:

In this role you will perform administrative and general office duties of a responsible and confidential nature for senior and executive leaders. You will produces a variety of correspondence, reports and presentations using the appropriate software for word processing, graphics and spreadsheets. Screens telephone calls and visitors. Schedules and maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements. Routes or answers routine inquiries. Maintains files, department office supplies and mail. Prepares special reports. Gathers and summarizes data. May serve as a liaison between office and corporate functions.

Essential Roles and Responsibilities:

  • Performs advanced administrative support for office or executive level managers.
  • Meeting planning, coordination, preparation of meeting materials, recording and distributing links, taking meeting notes, follow-up and reminders for action items, etc.

  • Assist with budgeting process for services
  • Template creation/revision for internal document tracking and other systems as requested.
  • Build and maintaining email distribution lists, personnel lists and other information management as requested
  • Intranet and content management (ENV and FAC service lines)
  • Internal communications support (emails, memos, social posts, internal publication articles, etc.)
  • Sourcewell invoice payments through Coupa
  • Schedule external webinars
  • Travel planning/coordination through Terracon’s Travel Portal
  • MS Teams – Team creation, membership management, maintenance and uploading documents, recordings, etc.
  • MS Excel – Building and maintaining spreadsheets for various service lines and analysis
  • Expense reporting as necessary
  • Assist Quality Program Manager with the APR Candidate Program, including producing workshops for the course, assigning peer reviewers for APR candidate project reviews and APR evaluations, setting up project feedback calls and candidate interviews, and other items as requested.
  • Act as back-up for Quality Program Manager when that individual is on PTO or at business meetings as needed.

Requirements:

  • High school diploma or equivalent.
  • Minimum 5-7 years’ relevant experience.
  • Valid driver’s license with acceptable violation history.
  • Strong skills with MS Office products
  • High attention to detail
  • Customer service mindset
