Job Description
The Office Safety Coordinator / Local Fleet Coordinator supports the daily operations of the local office by driving a strong safety culture, maintaining a well‑organized fleet, and ensuring consistent operational support. This role helps our team work safely, efficiently, and confidently.
Key Responsibilities
Safety Coordination
Assist with the implementation of safety policies, initiatives, and strategies to align with Terracon’s Incident and Injury Free (IIF) culture, Strategic Plan , and Purpose, Vision, and Values.
- Identify and analyze safety related key performance indicators (KPI’s) to assess the effectiveness of safety strategies and make data driven decisions.
- Proactively review and address near miss reports. When necessary, follow up and spearhead corrective actions.
- Lead/Participate in High-Risk Season (HRS)
- Lead local safety efforts by promoting our safety‑first mindset.
- Plan and facilitate monthly safety activities and discussions.
- Conduct and document monthly facility safety audits.
- Maintain safety records, including inspections and equipment tracking.
- Support IIF Driving by monitoring, coaching, and reporting on driving practices and compliance.
- Support managers with GeoTab coaching and ensure vehicles meet safety & inspection requirements.
- Coordinate with Corporate safety team on incident corrective actions to ensure prompt and efficient completion by local operations.
- Ensure first aid kits, fire extinguishers, AEDs, and eye wash stations remain stocked and functional.
- Support onboarding by reviewing office‑specific safety expectations.
- Identify and maintain PPE zones and update maps as needed.
- Communicate safety reminders, updates, and training opportunities.
- Maintain and update the Office Emergency Action Plan.
- Coordinate annual emergency drills and First Aid/CPR training.
- Visit project sites and laboratory operations to perform Safety Check Ins, Driver Safety Check Ins, provide training, and audit compliance with safety policies.
- Perform other duties as assigned.
- Oversee routine fleet maintenance and preventative service scheduling.
- Coordinate maintenance with local vendors.
- Request and distribute insurance cards.
- Assist with delivery and setup of new vehicles.
- Support DOT‑related compliance where applicable.
- Collaborate with corporate fleet to support tactical strategies to maximize ROI of fleet assets.
- Provide administrative and analytical support in monitoring key cost factors including asset utilization, fuel card issuance, and preventative maintenance compliance.
- Support the execution of current fleet objectives and direct local teams to ensure efficiency.
- Work closely with operations to encourage vehicle utilization, reduce downtime, and identify opportunities to optimize fleet inventory levels.
- Monitor upcoming/overdue registration renewals; assist with timely processing to minimize downtime and registration expenses.
- Serve as a point of contact for fleet-related questions or concerns from field operations; escalate issues to Fleet leadership when appropriate.
- Coordinate with local vendors and upfitters to schedule the installation of required vehicle accessories (e.g., strobe lights, alarms, toolboxes).
- Assist with reviewing vehicle and driver records for DOT compliance, where applicable.
- Play an active administrative role in supporting the vehicle and equipment telematics program, including device coordination and reporting tasks.
- Perform other duties as assigned.
- Preferred but not required: Bachelor’s degree in occupational safety or related field. In lieu of a degree, a minimum of 5 years’ experience in one of Terracon’s core services or safety-related field.
- Experience in safety coordination, fleet operations, logistics, or similar operational support functions.
- Basic knowledge of accident prevention, risk management and general working knowledge of OSHA construction safety regulations.
- Understanding of basic vehicle maintenance and registration processes.
- Strong organizational and communication skills.
- Ability to interpret basic safety and fleet reports.
- Proficiency with Microsoft Office.
- Valid driver’s license with acceptable history may be required.
- Primarily office‑based with routine movement throughout the facility.
- Occasional field, shop, or vehicle‑yard inspections. Approximately 30% of time.
- May occasionally lift 25–50 pounds.
