Job Description
General Responsibilities:
Provide administrative support for the day to day training department operations from the registration and regulatory notification process to the conclusion of class and providing student certificates, post-class regulatory notification, and invoicing support to accounting. Includes frequent student and training client contact by phone, email and in person, entering and processing student registrations and certificates; record-keeping for all classes, ordering and stocking classroom supplies, managing and setting up light catering, performing invoice-requests after classes and writing short cost estimates for custom classes.

Essential Roles and Responsibilities:
  • Answer Training Department telephone for taking registrations and responding to questions.
  • Register students over phone, email, in person & through online registration system’s registration confirmation emails.
  • Available for frequent in-person student contact for questions such as registrations, certificates, training schedule and accepting payment.
  • Keep FileMaker training client and student database accurate and up to date.
  • Generate reports when needed from student/client database.
  • Set up custom class projects, clients and contacts in Project Exchange.
  • Set up class folders for all open enrolment and custom classes along with course agendas, sign-in sheets and evaluation forms.
  • Submit regulatory pre- and post-notifications for classes requiring this within the required timeframe.
  • Set up chairs, tables, catering area, and course curriculum materials. Materials include some combination or all of the following: course manuals, agendas, special handouts, name cards, notepads, folders and pens/highlighters.
  • Print accurate certificates and wallet cards (including lamination for RRP classes) for all open enrolment and custom classes.
  • Assist Training Manager in planning, scheduling and writing routine custom training cost quotes.
  • Assist Instructors with routine handout production, class folders and client contact information, and gathering curriculum supplies for custom classes.
  • Support the maintenance of the training mailing list, generate class promotional and reminder emails.
  • Produce and distribute refresher reminder notices and make follow-up calls when needed.
  • Maintain inventory of catering supplies, training hands-on supplies and equipment, class books and handouts and other training-related supplies.
  • Attend Training Department planning and scheduling meetings and take notes.
  • Work with instructors to maintain cleanliness and organization of the training supplies storage areas, coffee service area, and classrooms.
  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
  • Be responsible for maintaining quality standards on all projects.
Requirements:
  • High school diploma.
  • Minimum 2 years’ related administrative experience.
  • Associate degree preferred.
  • Background in occupational safety and health or adult education preferred.
  • Proficient in Microsoft Word, Excel and Outlook for PC
  • Valid driver’s license with acceptable violation history.
