General Responsibilities:
Responsible for engaging with suppliers to facilitate their onboarding process. This role involves conducting training sessions to ensure suppliers understand and effectively use the Procure to Pay system. The coordinator works closely with internal teams to improve onboarding procedures and address any issues that arise. They manage data exchange to ensure accuracy. Additionally, they provide troubleshooting support to suppliers and stakeholders to create and maintain documentation outlining supplier procedures and ensure compliance with company policies. Overall, this role aims to streamline the onboarding process, making it efficient and effective for both Terracon and its suppliers.
Essential Roles and Responsibilities:
- Coordinate and facilitate day-to-day supplier onboarding and maintenance activities including: review of all supplier onboarding forms to ensure accuracy and compliance with risk management, safety metrics, sustainability reporting and goals, supplier diversity reporting and goals, and other data collection as needed.
- Collaborate with Procurement and Payables teams to ensure onboarding activities are completed in a timely manner (document collection, setup in portal, etc)
- Work with managers and internal peer groups on continuous improvement projects targeted at enhancing supplier experience including increase of supplier electronic payment methods and education of supplier setup process and portal use.
- Understand supplier risks and works to engage others as needed to minimize risks to Terracon.
- Annually monitors and collects Certificate of Insurance documents, safety records, and supplier diversity certificates from suppliers.
- Verify and collect subcontractor agreements and stores in the Terracon repository.
- Low dollar, low risk buyer/procurement responsibilities including, but not limited to: create and manage purchase orders for direct/indirect goods and services, assist stakeholders in tracking orders with suppliers as needed, create basic reports as requested or needed to identify trends or savings opportunities.
Requirements and Qualifications:
- High School diploma or equivalent.
- Minimum 3 years related experience.
- Experience working with supplier data and record management.
- Experience in applying project management tools.
- The position will focus on data collection, verification, and data entry; strong attention to detail required.
- Ability to learn and work in procure-to-pay software, as well as other online systems and programs. Specific experience with Coupa or Oracle Cloud a plus.
- Proficiency in Microsoft Office Suite, with intermediate to strong experience in Excel with the ability to create pivot tables, v-lookups, formulas, slicer, charts/graphs, filters, etc.
- Excellent analytical and problem-solving skills with a detail-oriented mindset.
- Effective communication skills to present complex data findings to non-technical stakeholders.
- Ability to work independently and collaboratively in a team-oriented environment.
