Job Description
General Responsibilities:
The Fleet Equipment Analyst is responsible for collecting, analyzing, and interpreting data to evaluate analyzing the performance, costs, and operational effectiveness of fleet equipment maintenance, repairs, and parts usage. This role provides data-driven insights that support decision-making, optimize service strategies, reduce total cost of ownership, optimize service strategies, reduce lifecycle costs, improve vendor performance, and ensure accurate inventory and maintenance forecasting. The analyst partners closely with operations, procurement, accounting, and vendors to support a high-performing, compliant, and cost-effective fleet.

Essential Roles and Responsibilities:
  • Collect, analyze, and interpret data related to equipment maintenance, repairs, labor hours, service vendor performance, and the lifecycle of parts.
  • Develop and deliver dashboards, KPI reports, and trend analyses to identify cost drivers, service variances, and improvement opportunities.
  • Monitor and evaluate fleet lifecycle costs and provide insights on replacement timing, parts reliability, and component failures.
  • Maintain data accuracy across fleet systems, maintenance platforms, and equipment records.
  • Analyze and optimize parts pricing, usage patterns, and warranty recoveries to reduce operating costs and improve utilization.
  • Review service provider invoices, rate structures, and cost variances to ensure compliance with contracted terms and identify cost savings opportunities.
  • Partner with Procurement to support negotiation of parts, labor, service rates, and vendor agreements using data-backed recommendations.
  • Identify high-cost repair categories and recommend alternative sourcing strategies or preventive measures.
  • Support vendor evaluations through periodic performance reviews, cost comparisons, and service-level compliance tracking.
  • Provide analytical insights that inform vendor selection, renewal decisions, and supplier scorecards.
  • Track warranty claims and reimbursements to ensure financial recoveries are maximized.
  • Manage and continuously improve Request for Proposal (RFP) processes for major vendors, ensuring consistency, competitiveness, and alignment with organizational objectives.
  • Implement and refine preventive maintenance (PM) schedules for fleet equipment based on manufacturer recommendations, utilization patterns, operating conditions, and historical performance data.
  • Analyze downtime trends and reliability metrics to support decisions on refurbishment, replacement, or design modifications.
  • Participate in continuous improvement initiatives focused on fleet reliability, safety, and cost efficiency.
  • Provide monthly and quarterly cost summaries for leadership, accounting, and operational teams.
  • Assist with budgeting and forecasting for maintenance, parts, and fleet operating expenses.
  • Validate equipment service data for accuracy and reconciliation across systems.
  • Support auditing of repair orders, parts usage, and vendor invoicing.
  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
  • Maintain quality standards on all projects.
  • Perform other duties as assigned.
Requirements:
  • Bachelor’s degree and 5 years’ experience in the fleet/equipment industry. Or, in lieu of a degree, a minimum of 9 years of related experience.
  • Basic understanding of various vehicle classes.
  • Strong analytical and problem solving skills with advanced proficiency in Excel or other analysis tools.
  • Ability to interpret technical equipment information and repair documentation.
  • Excellent communication skills for presenting findings and influencing stakeholders.
  • A valid driver’s license with acceptable violation history may be required.
