Job Description
General Responsibilities:
Oversee daily general office operations including but not limited to, coordinating all aspects of the daily office environment by performing tasks such as office maintenance, ordering office supplies, and other related tasks.
Determines the safest, most efficient way to dispatch employees and/or equipment to project sites. Receives and manages incoming service requests (internal and external) to dispatch appropriately trained staff for the assignment. Dispatchers multitask with strong communication skills, maintaining efficient operations while ensuring that resources are scheduled when requested and directed where they are most needed.
Provide project delivery support including document control and administration, project tracking, project quality and consistency, and drafting communications resulting in great client experience.
Essential Roles and Responsibilities:
- Ensure the office operates efficiently and effectively by performing various office administration tasks such as but not limited to, ordering office supplies, coordinating and scheduling office equipment maintenance, greeting visitors, vendors, performing office tours, coordinating workstation set up and team introductions, onboarding office new hires, completing certificates of insurance, setting up projects, billing projects and general project tasks.
- Foster employee engagement by coordinating local office events, trainings, welcoming & onboarding new employees, consistently sharing updates on activities such as wellness initiatives, local recognition programs, and reminders for annual activities such as benefits enrollment and annual engagement surveys.
- Support the office with computer replacements, asset inventory, and recycling old computers.
- Answer and manage incoming calls and dispatch employees with appropriate skills or certifications to precise locations at necessary times.
- Skilled at prioritizing projects and managing logistics (equipment, internal logistics) according to urgency and importance, utilizing negotiation skills when conflicts arise.
- Relay information and instruction to employees, their managers, labs and other project stakeholders (internal employees, client, contractors, etc.) as appropriate.
- As the hub for the department/office, maintain communication with field units to coordinate and prioritize schedules day-to-day.
- Dispatch in an incident and injury free manner consistent with Terracon’s guidelines to keep the care and concern of employees a priority.
- Communicate effectively with customers, employees, and leaders.
- Provide updates to project/program team leaders on client deliverables and status of projects, including subtask timelines and deliverable dates including financials (provided by financial analysts/ accountants) or other areas as needed.
- Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
- Be responsible for maintaining quality standards on all projects.
- Perform other duties as assigned.
- High school diploma or equivalent.
- Minimum 3 years of relevant experience or the equivalent in training and related experience.
- Ability to use technology (mobile apps, email, scheduling software, etc.)
- Fluent in Microsoft Office applications.
- Time management skills

- Valid driver’s license with acceptable violation history.
- Associate degree in project management, business management, or human resources
- IIF Safety Leadership Terracon course obtained within 1 year in role.
- Complete Terracon Resource Manager training within 1 year in role.
