ADMINISTRATIVE ASSISTANT
General Responsibilities:
Performs administrative and general office duties of a responsible and confidential nature. Responsible for assistance with project administration, contract management, financial reporting, and general administrative duties in support of Environmental Department. Serve as a liaison between office and corporate services, while communicating project status, assisting with invoicing and collections, tracking project financials in support of department project managers. Assist with tracking of Key Performance Indicators (KPIs) for department projects. Produces a variety of correspondence, reports and presentations using the appropriate software for word processing, graphics, and spreadsheets. Schedules and maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements in support of the department staff. Routes routine inquiries to the appropriate team. Maintains files, department office supplies and mail. May be assigned to various functional areas of the company.
Essential Roles and Responsibilities:
- Acting on own initiative, provides advanced and diversified administrative support to the environmental department, the office, or executives.
- Assignments generally involve work of a highly confidential nature and require extensive knowledge of the business, operating group and/or department and company practices, policies, programs, and service lines.
- Exercises considerable discretion and independent judgment and is capable of handling complex information requests to ensure appropriate resources take action.
- Provides high-level administrative support of a highly confidential nature such as handling information requests, preparing correspondence, receiving visitors, arranging conference calls, scheduling and coordinating complex meetings.
- Conduct project meetings and prepare regular reports to communicate the status of projects within and beyond the project team.
- Prioritizes and manages multiple projects simultaneously, and follows through on issues in a timely manner.
- Coordinates activities across departments.
- May handle calendaring, travel schedules and arrangements, process expenses/invoices, and coordination of day-to-day activities.
- High school diploma or equivalent.
- Minimum 10 years’ relevant experience.
- Valid driver’s license with acceptable violation history.
