Administrator creates and maintains documents, compiles reports, manages information, coordinates meetings, and supports travel and event logistics while assisting with ongoing coordination needs.
Key Responsibilities
CRM Support
- Enter, update, and maintain client and contact data in the CRM system
- Create and manage new client profiles and support data accuracy
- Assist with general coordination and administrative support
- Support additional related tasks as assigned
Administrative & Coordination Support
- Under direct supervision, perform routine administrative tasks to support the marketing department
- Schedule meetings by coordinating calendars, participants, locations, and agendas as directed
- Create, type, proofread, and format routine correspondence, reports, documents, spreadsheets, and presentations
- Compile and organize basic information for reports or presentation materials
- Receive and respond to routine correspondence following established procedures
- Maintain files related to correspondence, reports, records, and contracts
Logistics, Events & Financial Support
- Process and track marketing-related invoices and supporting documentation
- Coordinate memberships and renewals for marketing-related organizations
- Register staff for conferences, industry events, and professional associations
- Order, track, and manage promotional items and branded materials
- Assist with travel arrangements and event logistics as needed
Quality & Safety
- Follow safety rules, guidelines, and standards for all tasks
- Participate in pre-task planning and report safety concerns to management
- Maintain quality standards on assigned tasks and projects
- Perform other duties as assigned
Qualifications
- High school diploma or equivalent
- 1–3 years of administrative or marketing support experience preferred
- Experience performing administrative assistant duties
- Experience with CRM systems and data entry
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and shifting priorities
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Clear written and verbal communication skills
- Valid driver’s license with acceptable violation history
Preferred Skills
- Familiarity with professional services or consulting environments
- Experience coordinating events, conferences, or registration logistics
- Comfort working with vendors and internal stakeholders
- Familiarity with Adobe Creative Cloud is a plus
