Job Description
General Responsibilities:
Performs administrative and general office duties of a responsible and confidential nature. Produces a variety of correspondence, reports and presentations using the appropriate software for word processing, graphics and spreadsheets. Screens telephone calls and visitors. Schedules and maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements. Routes or answers routine inquiries. Maintains files, department office supplies and mail. Prepares special reports. Gathers and summarizes data. May serve as a liaison between office and corporate functions. May be assigned to various functional areas of the company.

Essential Roles and Responsibilities:

  • Under minimal supervision, provides moderate to complex administrative support for an office, a department and/or group of professionals.
  • Independently researches and obtains information for complex reports and special assignments including analyzing data and report preparation.
  • Analyzes complex problems, compiles and analyzes data and prepares reports.
  • Composes, prepares, edits and proofreads letters, reports and other correspondence.
  • Answers telephones, screens calls and forwards messages.
  • Project Setup and coordination with department/project manager
  • Project Accounting and billing: including balancing the budget and managing financials with project manager and Administrative Manager
  • Resolve unpaid invoices with corporate accounts receivable and Administrative Manager
  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
  • Be responsible for maintaining quality standards on all projects.

Requirements:

  • High school diploma or equivalent.
  • Minimum 3 years experience with Microsoft Excel, PDF Exchange Editor/Adobe, Word, Outlook
  • Exceptional verbal and written communication skills
  • Problem Solving Skills
  • Ability to prioritize and be flexible with changing business needs in a team environment
  • Timeliness, attention to detail, and accuracy are critical to this position
  • Valid driver’s license with acceptable violation history.
