Job Description
General Responsibilities:
Performs administrative and general office duties in a professional manner including those of a confidential nature. Produce a variety of correspondence, reports and documentation using the appropriate software from Microsoft, word processing, and excel spreadsheets. Screens and routes telephone calls and answers routine inquiries. Maintains project files. May be assigned to tasks in other departments within the company. Keep specific supplies stocked.

Essential Roles and Responsibilities
  • Under minimal supervision, provide moderate to complex administrative support for an office, a department and/or group of professionals.
  • Independently researches, obtains, compiles, and analyzes information for complex reports and special assignments including analyzing data and preparing draft reports.
  • Order open records requests, regulatory database information, and download appraisal district information.
  • Assist with creating proposals, pricing quotes, contracts, task orders, and change orders.
  • Prepare shipments via Federal Express, UPS, USPS, and the courier service.
  • Maintain TxDOT contract tracking logs including but not limited to registering, invoicing, preparing, and submitting monthly Historically Underutilized Business (HUB) reporting, and submit final project deliverables.
  • Prepare project draft invoices for review by project managers, finalize and send invoices to clients.
  • Register various project types, amend contract budgets, and ensure contracts are received and saved in the appropriate manner.
  • Compose, send, and respond to client and internal emails.
  • Create project/proposal files and file labels, purge document files, file project folders, and box old project files to send to the offsite storage facility.
  • Answer telephones in a professional manner, screen and forward calls and messages.
  • Assist in events held within the office.
  • Work within company software to assist in collections.
  • Participate in weekly department meetings.
  • Follow safety rules, guidelines, and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
  • Occasional need to drive company vehicles locally.

Requirements:
  • High school diploma or equivalent.
  • Minimum 5 years relevant experience.
  • Must type 60wpm and be proficient with Microsoft Word and Excel.
  • This is an in-office position and requires dependable transportation.
  • Valid driver’s license with acceptable violation history.
  • Must pass drug test.
