Job Description
General Responsibilities:
Performs administrative and general office duties of a responsible and confidential nature. Produces a variety of correspondence, reports and presentations using the appropriate software for word processing and spreadsheets. Screens telephone calls and visitors. Schedules and maintains calendar of appointments, meetings and travel itineraries and coordinates related arrangements. Routes or answers routine inquiries. Maintains files, department office supplies and mail. May serve as a liaison between office and corporate functions. May be assigned to various functional areas of the company.

Essential Roles and Responsibilities:
  • Under minimal supervision, provides administrative support for an office, a department and/or group of professionals.
  • Responsible for preparing invoices and billing clients.
  • Accounts Payable: process, code and reconcile statements for equipment and subcontractor vendor invoices
  • Resolve unpaid invoices with corporate accounts payable department
  • Maintain new subcontractor vendor setup process implemented by corporate accounts payable standards with local office staff
  • Answers telephones, screens calls and forwards messages.
  • May handle calendaring, travel arrangements and coordination of day-to-day activities.
  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
  • Be responsible for maintaining quality standards on all projects.

Requirements:
  • High school diploma or equivalent.
  • Minimum 3 years’ experience performing office support activities.
  • Proficient computer skills, including Microsoft Office and Teams.
  • Strong verbal and written communication skills.
  • Problem Solving skills
  • Ability to prioritize and be flexible with changing business needs in a team environment
  • Timeliness, attention to detail, and accuracy are critical to this position
  • Working knowledge of general office equipment.
  • Valid driver’s license with acceptable violation history
