General Responsibilities:

The Corporate Services Representative (CSR) serves as a liaison between our Pittsburgh office and our corporate office. The CSR is responsible for corporate functions between local staff and the corporate office, including Human Resources, Accounting, and Health & Safety. This position also requires that you coordinate invoicing and collection efforts for the office and have client contact and followup. The CSR performs administrative and general office duties of a responsible and confidential nature in an office setting. The CSR may format, review, and produce a variety of correspondence, technical reports, and presentations using the appropriate software for word processing, graphics, and spreadsheets. The position requires that you be proficient in the Microsoft suite of software, particularly Word and Excel, as well as in PDF-Xchange Pro. The position is responsible for answering telephone calls and greeting visitors, scheduling meetings, and coordinating related arrangements. The CSR purchases office supplies, manages office mailings, and assists with Fleet management.

Essential Roles and Responsibilities:
  • Acting on own initiative, provides advanced and diversified administrative support to an office as a whole.
  • Assignments generally involve work of a highly confidential nature and require extensive knowledge of the business, operating group and/or department and company practices, policies, programs and service lines (Environmental Consulting).
  • Exercises considerable discretion and independent judgment and is capable of handling complex information requests to ensure appropriate resources take action.
  • Provides high-level administrative support of a highly confidential nature such as handling information requests, preparing correspondence, receiving visitors, arranging conference calls, scheduling and coordinating complex meetings.
  • Assembles and analyzes information, prepares reports, presentations, manuals, agendas, correspondence, and memoranda.
  • Prioritizes and manages multiple projects simultaneously and follows through on issues in a timely manner.
  • Coordinates activities across many departments.
  • Handle calendaring, travel schedules and arrangements, process expenses/invoices, and coordination of day-to-day activities.
  • Coordinate collection efforts for the office. Make 7-10-day courtesy calls and follow-up on invoices. Present collection status reports. Communicate with clients regarding special invoicing/reporting issues.
  • Assist Fleet Vehicle Manager with fleet related tasks. Liaison with Corporate Procurement. Monitor vehicle assignment, maintenance, and repair of fleet. Manage gas cards, mileage reports, and toll tags. Responsible for monthly vehicle report. Process license renewals and driver alert reports.
  • Follows safety rules, guidelines, and standards for all projects. Participates in pre-task planning and kick-off meetings as necessary. Reports safety issues or concerns to management.
  • Responsible for maintaining quality standards on all projects.
  • Will be expected to have a typical physical office presence 4-5 days per week, Monday through Friday, 8:00am-5:00pm.

Preferences:
  • Preference will be given to applicants who have previous experience working in an Environmental/Engineering Consulting industry.
  • Preference will be given to applicants who have a degree in Secretarial Sciences or other administrative duties related degrees.

Requirements:
  • High school diploma or equivalent.
  • Minimum 10 years’ relevant experience.
  • Valid driver’s license with acceptable violation history.
