Job Description
Terracon, one of the top employers in Kansas City, has a great opportunity with our Fleet team. In this role you will assist our 3rd party leasing company maintain our fleet of nearly 4,000 units nationwide. Including but not limited to placing factory vehicle orders, setting up transportation to ship vehicles nationwide, compare vehicle specifications, negotiate fleet related categories, approval/review of monthly invoices and vehicle remarketing. Terracon is seeking a highly motivated individual that works well in a fast paced environment and is focused on delivering exceptional customer service to our field offices.

General Responsibilities:
The Fleet Administrator maintains and sells vehicle fleet through relationships with leasing companies, wholesalers and upfitters. This role works closely with Fleet Representatives at each local office to maintain a safe and efficient fleet.

Essential Roles and Responsibilities:
  • Place factory and stock vehicle orders
  • Review and approve monthly leasing company billing
  • Assist with processing purchase orders (PO’s) and invoices and coordinate with the corporate accounting department on daily information requests
  • Track and maintain vehicle movements (rentals, transfers, leases); communication with vendors required
  • Request insurance cards as needed
  • Assist with maintenance of company fuel card program
  • Assist the Fleet Reps with delivery of new vehicles
  • Assist with company vehicle remarketing thru leasing vendors, wholesalers and use of the employee sale program.
  • Work with upfitters on specialty vehicles
  • Assist Fleet Reps with DOT compliance and regulations
  • Assist in the management of performance on key cost factors including safety performance, asset usage, fuel compliance, preventative maintenance, projects and vendor usage
  • Assist the Director of Procurement with any reports or analysis requested
  • Negotiate fleet-related categories
  • Assist with the management and acquisition of equipment fleet including trailers, drill rigs, boats, etc.
  • Active role in administration of the vehicle/equipment telematics program
  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.
  • Maintain quality standards on all projects.
Requirements:
  • Bachelor’s degree in business administration, finance, accounting or related field and 1 year fleet and/or procurement/sourcing experience. Or, in lieu of a degree, 5 years’ related experience.
  • Basic negotiating skills and understanding of procurement process.
  • Experience and aptitude toward exceptional customer service
  • Good understanding of “Procure to Pay” process and ERP functionality.
  • Valid driver’s license with acceptable violation history.
Preferred Certification:
  • Certified Automotive Fleet Manager (CAFM), Certified Automotive Fleet Specialist (CAFS), or other related professional certification preferred.
